icddr,b invites applications from suitable candidates for the position of Clerk with Supply Chain and Facilities Management under the Corporate Services. The appointment will be made on Fixed Term basis for 2 years which is renewable depending on performance and availability of funds.
Duty station - Dhaka

Salary - Annual Tk. 322,800/  -inclusive of house rent and conveyance allowances and other admissible benefits.
Benefits/facilities - 14.8% provident fund contribution, income tax paid by icddr,b, children allowance @Tk.1,420/- per child per month, festival bonus, contributory healthcare support including dependent spouse and children, group life insurance and subsidized canteen. Transport and daycare facilities are subject to space availability.
Job profile:
Coordinate and organise all logistical requirements of Supply Chain Management (SCM) WITH THE OBJECTIVE OF providing efficient administrative support WITHIN the guidelines of research protocol; and organisational values and guidelines (such as Institutional Governance Framework - IGF and Gender Diversity Guidelines).
  • Tender Management: Review requisition in order to verify accuracy, terminology, and specifications; Process purchase requests from various departments within the Centre and get price quotes from suppliers; Prepare, maintain, and review purchasing files, reports and contracts. Compare bids, specifications, and delivery dates in order to determine the best bid among potential suppliers. Coordinate with user departments for procurement and supply issues and keep close monitoring to accomplish in timely manner; Track end to end status of requisitions, contracts, and orders.
  • Supply Management: Contact suppliers in order to schedule or expedite deliveries and to resolve shortages, missed or late deliveries, and related issues arises from the supply chain links; Determine if inventory quantities are sufficient for needs, ordering m ore materials when necessary; Respond to customer and supplier inquiries about order status, changes, or cancellations; Coordinate with outside vendors to purchase required materials in order to ensure smooth operation of the Supply Chain Management activity in line with the organizational guidelines.
  • Order Tracking and Delivery: Liaise with team members and suppliers for getting shipment/delivery update and work closely for the orders are due for delivery; Deals with Air lines, Shipping lines, Freight Forwarders, Courier agents and suppliers for shipping and logist ics related issues; Keep tracking the shipments upon receipt pre-alert notice from suppliers/donors; Provide logistic support to organize pre-bid meeting, bid evaluation meeting, post-bid meeting, and workshops to ensure smooth conduction of Supply Chain Management processes.
  • Documentation Support: Keep records of SCM activities; Preserve different official papers and office records in order in a secure and safe place; Prepare different types of log for forwarding; Seek advice from the Supervisor in case of any issue arises; Escalate difficult cases to the Supervisor to find out a solution in order to maintain an effective filing and documentation for further use of records and verifications.
Requirements:
Education and relevant experience:
  • Bachelor Degree in any discipline;
  • 3 years of experience in clerical and administrative support services.
